Board Orientation Manual 2024

Sport The Sport Directorate prepares for all sport competitions, ensuring all sport equipment and venues are available and ready for use and that they create the environment and opportunity for high-level sport competition. Venues and equipment selected are based on minimum requirements set by each sport in conjunction with the BC Games Society. This Directorate works with the other Directorates and local Sport Chairs (named through the BC Games Society) to ensure details are in place for competition and is the main connection between the Sport Chairs and the other Directorates. In addition, the Sport Directorate works to increase the impact and legacy of the Games through facility upgrades, sport equipment purchased, and community development opportunities prior to, and during, the Games. Volunteer Management – see above. Community Development This Chair area helps to make the connection between the Games and the local community. Tasks that directly impact the sports such as making arrangements (room, AV equipment, etc.) for sports that run workshops or off-field training for participants during the Games are also managed by this Chair (in conjunction with the Venue Management Chair). This Chair also gathers information from other Directorates about workshops they are planning to hold that will train or enhance the skills of volunteers, leaving a legacy in the community. This Chair tracks all such innovative partnerships and initiatives that connect the Games and the community for legacy reporting purposes. This Chair also forms a committee (in conjunction with the President and Vice President) to select a local recipient of the Sport BC Promotion Plus Leadership Award that is presented at the Civic Luncheon during the Games. This Chair will also support BC Games staff with the BC Games Leadership Bursary process and coordinating the presentations at the Games. Competitions The Competitions Chair maintains regular communication with the Sport Chairs (one named for each sport by the Provincial Sport Organization) and is the main communication link between each Sport Chair and the Sport Directorate and other Directorates. The Competitions Chair keeps a checklist on each sport, tracking requests and the fulfillment of the requests, organizes and attends all meetings of the Sport Chairs, and keeps the Sport Chairs informed on the status of the items requested for their competition/venue. This Chair also coordinates the Sport Venue Tour, held four to five months prior to the Games, which involves all Directorates and Sport Chairs. Equipment The purpose of this Chair area is to ensure that required sport equipment is available to all sports. This will include taking inventory of all available equipment in the community, borrowing, renting, or purchasing equipment as determined, and establishing a distribution system of all equipment to the respective sports. This Chair also creates and manages a list of all equipment purchased for legacy information and works with BC Games staff to determine post-Games use/ownership of larger equipment items.
