• Staff member files are confidential, and information will not be released to any unauthorized person. If a staff member wishes for information in their file to be released, they may provide written consent to the BC Games Society. • The staff member file is established at the start date of employment and is maintained continuously throughout the employment period. Staff member files will be retained by the BC Games Society for a period of four (4) years after the employment relationship ends. • Staff members can request to see/review the content of their file by making a request to the President and CEO. Privacy The BC Games Society recognizes and respects staff members’ and clients’ right to privacy, pursuant to the Freedom of Information and Protection of Privacy Act (FIPPA), which outlines the principles and practices the BC Games Society will follow in protecting personal information. the BC Games Society’s privacy commitment includes ensuring the accuracy, confidentiality, and security of our staff members’ and clients’ personal information and allowing staff members and clients to request access to, and correction of, their personal information. Privacy Guidelines • The collection of staff member information will be limited to information the BC Games Society requires for business and legal purposes. • The confidentiality of all personal information in the BC Games Society records and staff member files will be protected. • Internal access to staff member records will be limited to those with an authorized, business related need-to-know. • The BC Games Society will refuse to release personal information to outside sources without the staff member’s written approval, unless legally required. Access may also be given to third parties, including government agencies, when legally required or pursuant to court order or subpoena. • Staff members are permitted to see the personal information maintained about them in their file and may correct inaccurate information or submit written comments in disagreement with any information contained in these records. • Any staff members involved in maintaining records will be required to adhere to the BC Games Society’s privacy policies and practices. Violations may result in disciplinary action, up to and including termination. Proprietary Information, Confidentiality and Non-Disclosure The BC Games Society staff members will encounter proprietary and confidential information, including, but not limited to: information about the BC Games Society’s business, technology, personnel, marketing, customers, finances, services, contracts, and intellectual property. Confidential and proprietary information could be used to the detriment of the BC Games Society, and disclosure could cause irreparable harm to the company. The BC Games Society staff members are
