Board Orientation Manual 2024
The Board of Directors President and Vice President
The primary responsibility of the host society President and Vice President is to lead a team of competent volunteers who will manage their respective areas of responsibility and will ultimately host up to 1,800 participants in the BC Winter Games and 3,300 participants in the BC Summer Games. The President and Vice President will, therefore, be aware of responsibilities of the Directorates, monitor progress in 70+ Chair areas of responsibility, and ensure planning is proceeding within the timelines, obligations, and expectations. Directors Each Director has two main areas of responsibility. As community leaders and members of the Board of Directors, they will work with the President and Vice President to develop the vision for your Games and serve as the officers of the Society. They are responsible for the overall operations and finances of the Games host society. They will also lead a team of Chairs in their Directorate to carry out the vision for your Games by organizing and implementing plans in one of the 14 different, yet interdependent, Directorates or portfolios of responsibility. Board Liaison The City/Municipality, School District and Local First Nations are recognized as Provincial Partners of the Games because of the commitments made in the bid process (the City/Municipality provides funding and facilities, the School District provides the use of schools and buses and the First Nations provide an important cultural influence too all Games operations). As their support is integral to the successful staging of the Games, they will each appoint a Liaison to be part of the Games Board of Directors. Partnerships with the local Indigenous community(ies) is an important part of the Games. The local Indigenous Community will be recognized as Provincial Partners and will be invited to appoint a Liaison to the Board. Board Liaisons serve as the conduit between the Games and their respective organizations and are expected to engage at the Board meetings, assist in ongoing planning, provide support, and to open opportunities or help create efficiencies for the Board through access to resources. The City/Municipality, School District, and Indigenous Community will appoint a Liaison to the Board - the BC Games Society President and CEO can provide some guidance in this selection. Liaisons are non-voting members of the host society Board. Committees and Partners Chairs The responsibilities of each Directorate are divided into areas of responsibility led by a Chair. The Directors will recruit and appoint volunteers to oversee and manage each Chair area of responsibility. Chairs will recruit one or more committee members to assist with the planning within their Chair area. Community Partners Community Partners are organizations that may be able to assist the host society in staging the Games by offering financial or in-kind support, providing access to opportunities or resources, or providing information that will assist with planning. These could include, PacificSport Regional Centres, regional districts, community colleges, etc. Community Partners may be associated with the organization as a whole or with a specific Directorate. What meetings they attend, if any, and how they engage with the Games will depend on the support they are bringing to the Games. Formal agreements may be developed with these organizations.
